Booking & Planning

How to book a trip with Freelance Nana Tours

You can start in three ways:
  • Browse our sample trips on the Tours page and pick one you like.
  • Click “Start trip planning” on the website and fill in the short form.
  • Message us on WhatsApp with your dates, number of people and preferred countries.

We recommend booking at least 4–8 weeks in advance for international guests, and at least 2–4 weeks for travellers already in West Africa.

Last-minute trips are possible (especially around Accra & Ghana), but hotel availability and transport options may be more limited, especially during peak seasons and holidays.

Yes. Most of our trips are customised. We can adjust:
  • Number of travel days and nights
  • Countries and cities you want to visit
  • Type of accommodation (budget, mid-range, premium)
  • Activities (heritage tours, beach days, nightlife, shopping, church, corporate visits, etc.)

Just share your ideas and budget and we’ll suggest a realistic plan.

We’ll usually ask for:
  • Full name as in your passport
  • Nationality and country of residence
  • Preferred travel dates and flexibility
  • Number of travellers and room sharing preferences
  • Any mobility, health or dietary considerations
Payments & Pricing

Deposits, balances & what’s included

Typically a 30–50% deposit is required to confirm your booking, depending on the length of the trip and how soon you’re travelling. The remaining balance is paid before arrival or on the first day of your tour, as agreed in your package.

We support multiple methods depending on your location:
  • Mobile money in Ghana (MTN, Telecel, AirtelTigo)
  • Bank transfer (local and international)
  • Card payments via secure payment gateway (where available)
  • Cash payments in Accra for local clients (by agreement)

We’ll share the best options when we send your quote and invoice.

Each trip has its own inclusions, but most packages will clearly show:
  • Accommodation (with room type)
  • Transport during the tour (vehicles, drivers, fuel)
  • Entry fees for listed attractions and activities
  • Guiding services and on-ground support
  • Some meals (for example: breakfast only, or half board)

Flights, visa fees, travel insurance, personal shopping and tips are usually not included, unless we clearly say so in your quote.

Yes. For larger groups (churches, schools, corporate teams, associations, etc.), we can create customised pricing based on the number of travellers, room sharing and trip type. Tell us your group size and we’ll build the best value package we can.
Travel & Safety

On-ground experience & security

We take safety seriously. We:
  • Use trusted drivers and vehicles we know
  • Plan realistic driving hours and routes
  • Stay updated on local news and security advisories
  • Choose accommodations in safe, convenient areas

We’ll also brief you on basic safety tips for each destination before you arrive.

Depending on your package:
  • Private tours: Only you / your group with your driver and guide.
  • Shared tours: You’ll join a small group of other travellers (usually 8–12 people).

In all cases, one of our team members or partner guides will be your main point of contact.

Most of our Ghana-based packages include airport pickup in Accra, and some also include drop-off. For multi-country trips, we’ll clearly state what’s covered in your itinerary and quote. If not included by default, we can add airport transfers to your package.

We strongly recommend that you arrange your own travel insurance before leaving your home country. This should cover medical emergencies, trip cancellations or delays, and lost luggage. We can suggest what to consider, but we do not sell insurance ourselves.
Visas, Documents & Practical

Border crossings, currencies & more

We cannot issue visas, but we can:
  • Share guidance on visa requirements for your nationality
  • Provide invitation / booking confirmation letters where needed
  • Plan realistic travel times for border crossings
  • Have your guide support you at the border when possible

Final visa approval is always at the discretion of the embassy or immigration officers.

In Ghana you’ll mainly use Ghana Cedis (GHS). In neighbouring countries (Togo, Benin, Côte d’Ivoire, Senegal), the common currency is West African CFA franc (XOF). Many travellers bring:
  • A mix of card and cash (USD, EUR or GBP) to exchange locally
  • Mobile money if you’re already in Ghana or West Africa

We’ll advise you based on your exact route and your home country.

International flights from your home country are usually booked by you or your agent. We focus on ground arrangements (hotels, guides, road transport, internal activities). For some regional flights within Africa, we can advise on routes and preferred airlines, and in some cases assist with booking if requested.

Packing depends on your destinations and time of year, but generally:
  • Light, breathable clothing for warm weather
  • Comfortable walking shoes / sandals
  • Sun protection (hat, sunglasses, sunscreen)
  • Modest clothing for cultural and religious sites
  • Personal medication and a basic first aid kit

Once your itinerary is confirmed, we can send you a tailored packing checklist.

Changes & Cancellations

If your plans need to shift

We understand plans can change. We’ll first check:
  • Hotel and airline policies for your new dates
  • Availability of drivers and guides

Some changes may be free, others may carry change fees depending on our partners. We’ll always be transparent about any extra costs before you confirm changes.

Our exact policy will be stated on your invoice and confirmation, but in general:
  • Deposits may be partially or fully non-refundable close to travel dates.
  • Earlier cancellations usually attract lower fees.
  • Some costs (like visas, flights or certain hotel bookings) may be non-refundable at any time.

We’ll always do our best to minimise losses where possible and advocate on your behalf with partners.
